Acoustic Meeting Rooms: Panels, Ceilings and Tips to Cut Echo

Echoes in meeting rooms make conversations and video conferences difficult. Learn about the causes and the most effective acoustic solutions.

If you've ever had to repeat a sentence in a meeting because no one understood it, or noticed that video conferences have an annoying echo, your room probably has an acoustic problem. It's more common than you might think, and in most cases, it has a relatively simple solution. In this article, we explain why it happens and what solutions exist to correct it.

Why do meeting rooms have echo problems?

Echo in a room occurs when sound bounces off hard surfaces (walls, ceiling, glass, table) and takes too long to dissipate.

In technical terms, this is called a high reverberation time: the sound remains in the air longer than it should.

Meeting rooms are especially prone to this because they are usually small or medium-sized spaces with smooth walls, untreated ceilings, and large glass surfaces.

In many cases, this is compounded by a large central table and little sound-absorbing furniture.

The result is that voices bounce continuously between surfaces, the words overlap, and it's difficult to understand what the person speaking is saying.

Practical Consequences: What Happens When Echo Isn't Corrected

The problem isn't just one of comfort. It has a direct impact on productivity and the quality of team communication:

  • Video conferences with poor sound quality: microphones pick up echoes, making communication confusing for participants.
  • Auditory fatigue: when the brain has to constantly work to follow a conversation in an acoustically poor environment, the feeling of tiredness increases, especially during long meetings.
  • Less productive meetings: interruptions, repetitions of information, and difficulty understanding what is being said slow down decision-making and hinder fluid communication among participants.
  • Lack of confidentiality: in rooms with echo, participants tend to raise their voices, making it easier for conversations to be overheard.

How to tell if your room has an echo problem

There's a simple test: clap loudly in the center of the room. If you hear the sound linger or "tail" for more than half a second, it's a sign that the surfaces are reflecting too much sound.

For these types of spaces, the recommended reverberation time is between 0.4 and 0.6 seconds. Without acoustic treatment, it's common to measure values of 1.5 seconds or more, which significantly impairs verbal communication.

If video conferences sound echoy, conversations overlap, or you need to speak louder than usual, acoustic treatment is very likely necessary.

Acoustic conditioning solutions for meeting rooms

The solution involves introducing absorbent materials. It's not necessary to treat all the walls or do any construction work: treating the key areas achieves remarkable results.

Acoustic ceiling panels

The ceiling is the surface that contributes most to the problem because it's the largest and has the fewest obstructions.

Installing sound-absorbing acoustic panels, such as those in the Ideacustic collection, significantly reduces sound reflections and the time sound lingers in a space.

Acoustic Wall Panels

Side walls are the second most important surface to treat. Perforated panels, like those in the Ideaperfo collection, absorb the first sound reflections, which are the ones that most hinder communication.

They are installed as wall coverings and are available in various finishes.

Wood Panels with Acoustic Finish

In boardrooms, meeting rooms, or corporate spaces where image is important, acoustic panels with a wood finish combine acoustic performance and design.

Acoustic Booths: An Alternative for Private Meetings and Calls

When the problem isn't limited to echo within the room, but rather requires a completely private space for confidential calls or video calls, Ideazone acoustic booths are an effective solution. These are enclosed, soundproof, and ventilated modules that are installed directly in the office without any construction work. They allow for calls or brief meetings with complete acoustic privacy, without depending on the availability of meeting rooms.

Success Story: Camp Nou Meeting Room (FC Barcelona)

An example of how to solve this type of problem at a professional level is the project carried out in the meeting room at Camp Nou, FC Barcelona's stadium.

This space is used for strategic meetings, institutional presentations, and meetings with sponsors. Given its function, it needed to offer clear verbal communication and an acoustically controlled environment, aligned with the club's image.

Ideatec installed Idealux FL acoustic panels with a wood finish, integrated into the ceiling. The intervention eliminated echo and improved sound quality in both face-to-face conversations and video conferences, while maintaining a sober and elegant aesthetic.
